Define the escalation's purpose

The problem has been observed only in the example record supplied by the customer. Remove the broader impact claim. Keep the suspected date-format issue as a hypothesis, and explain which reproduction check would help confirm or reject it.

That correction makes the handover more useful. The next team receives a question it can investigate, rather than a conclusion it must first untangle.

Prepare the handover in five steps

  1. Confirm the escalation route. Use the current team ownership and escalation guidance so the request reaches the people able to act.
  2. Build the case timeline. Identify when the issue was reported, which actions were taken, and what each attempt showed.
  3. Organise the evidence. Keep relevant screenshots, records, and source references tied to the observation they support.
  4. State the requested help. Explain what the receiving team should investigate, decide, or provide, and which information may still be needed.
  5. Review the final audience and wording. Check sensitive details, impact statements, and commitments before sending or creating a connected work item.

Prepare a separate customer update

An internal escalation may contain technical hypotheses and team discussion that do not belong in the customer message. Ask Upfyn to draft a separate update explaining what is known, what is happening next, and whether the customer needs to provide anything.
